Kyocera Education Case Study


This veterinary clinic chain maintains pet hospitals throughout the United States and is experiencing rapid growth.  They are a current Kyocera customer (for the past four years), looking to update with new Kyocera devices, as well as find a solution to the main issue they were experiencing –a way to easily organize, access and secure animal patient data when acquiring a new pet hospital.


At the client’s rate of growth, it was becoming very difficult to manage their increasing amount of data.  They needed a way to organize, access and secure scanned data from every location across the country.  The client wanted the ability to securely scan documents and automatically organize those scans into folders on their server, based on pertinent information, such as date, patient number and office location.


The business solution consultant (BSC) and dealer sales representative performed an evaluation and advised the client how DMConnect Pro software would be a perfect solution for them to organize their documents automatically, using its advanced OCR engine.  The client was given a hands-on demonstration of DMConnect Pro, using their own form documents and was, indeed, convinced that this software, together with their current and newly purchased Kyocera devices, would address their growing organizational needs, creating a total document solution.


The client, dealership, and BSC worked together to construct the workflow solution and discuss network and server requirements. The client created a number of virtual servers where the DMConnect Pro software was installed.  Once the final workflow was tested and approved, the MFPs were updated with the server address, and all locations could, simply and easily, launch DMConnect Pro and scan, without user input.  Having the scanned forms automatically placed into organized folders by patient and date, made organizing and accessing customer information a simple task.  And, the data was easily backed up for the IT department.


The impact was felt immediately, upon rollout of the total document solution to each location.  A combination of Kyocera MFPs are being utilized in the client’s locations, with additional devices to be purchased in the near future.  30 DMConnect Pro licenses were purchased to fulfil their immediate needs, and more will be purchased as the company continues to expand.
